Effective date: 27 September 2026.
Central Victorian Mercantile respects the privacy of individuals and handles personal information in accordance with applicable Australian privacy law. This policy explains the kinds of information we may collect, how we use and disclose it, and how you can contact us about it.
1. Information we collect
Depending on the service or instruction, we may collect names, contact details, addresses, employment or occupancy information, identification information, details about assets or property, photographs, field observations, correspondence and other information relevant to an assignment.
We may also collect information supplied through our website, including contact-form details and technical information such as browser, device and usage data.
2. How we collect information
We may collect information directly from the person concerned, from our clients, through documents or instructions supplied to us, during field attendances and enquiries, from publicly available sources, from authorised third parties and through our website or communications.
3. How we use information
We use personal information to accept, assess and carry out instructions; communicate with clients and relevant parties; verify identity, location, occupancy, employment, assets or property; prepare reports, affidavits and related records; manage safety and legal obligations; administer our business; and respond to enquiries or complaints.
4. Disclosure of information
We may disclose information to the client who instructed us, our employees and authorised representatives, locksmiths and other service providers required for an assignment, professional advisers, insurers, regulators, courts, law-enforcement or government bodies where authorised or required, and technology providers that support our operations.
When an assignment is outside our direct-agent region, relevant information may be provided to an appropriately selected service provider so the work can be completed. We take reasonable steps to limit disclosure to what is required for the instruction.
Some technology providers may process or store information outside Australia. The locations and safeguards applicable to those services may change, and we review them as part of our privacy and security arrangements.
5. Security and retention
We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These measures include controlled access to systems and premises, staff training and appropriate insurance arrangements.
We retain information only for as long as reasonably required for the purpose for which it was collected, to meet client, legal, regulatory, insurance and record-keeping requirements, or to resolve disputes. Information that is no longer required is securely destroyed or de-identified where practicable.
6. Website, cookies and contact form
Our website may use essential cookies and similar technologies to operate securely and understand basic website use. Third-party services embedded in the site may collect technical information in accordance with their own privacy policies.
The website contact form is for general enquiries only. Please do not use it to send confidential or sensitive documents. Existing clients should use the secure or agreed channels provided by CVM.
7. Access, correction and complaints
You may contact us to request access to personal information we hold about you or to ask us to correct information that is inaccurate, out of date or incomplete. We may need to verify your identity and may decline access where permitted by law.
If you have a privacy concern, contact us using the details below. We will review the matter and respond within a reasonable period. If you are not satisfied, you may be entitled to contact the Office of the Australian Information Commissioner.
